Box Office Coordinator- Sustainable Production Forum

Reports to: Co-Founder / Executive Director and Program and Production Lead, 

Location: Hybrid - GTA based candidates preferred. Most of the contract is remote with attendance on November 13th and November 14th required to facilitate box office for the in-person event at the Glenn Gould Studio. 

Program: Sustainable Production Forum (SPF26 Toronto and Virtual)

Scope: This is a part time remote position from September to November. Estimated total: 65 hours. Rate: CAN $23 / hr. 

Overview

The Box Office Coordinator is a key team member coordinating box office, registration, and platform updates, with a focus on attendee and partner experience across Sustainable Production Forum (SPF26) events and programs. This role supports partner and vendor integration and deliverables to strengthen their experience and satisfaction. 

The role includes registration, ticketing and box office for virtual and the Toronto in-person conference, in-person production support as required, and virtual event platform readiness. The Box Office Coordinator works closely with the management, programming, and communications teams.

Working Hours

The contractor will participate in multiple weekly, on-camera Zoom meetings during 9–5 (ET or PT) working hours, Monday to Friday. The contractor is responsible for completing daily/weekly tasks independently, and is required to check in at the start and end of every workday to ensure timely responses to email and other communication requirements.

Tools & Equipment

The contractor must have continual access to a computer in good working condition with camera and microphone, and high-speed internet.

Tasks Include (but are not limited to)

  • Work closely with the Co-Founder / ED on SES's mission, goals, and tactics to support and facilitate the registration and box office strategy for SPF26.

  • Optimize platforms, ticketing processes, front-of-house, and check-in procedures.

  • Advise on optimization and communication for increased platform engagement, value, and ROI.

  • Lead in-person registration and box office.

  • Work closely with team members and volunteers. 

  • Troubleshoot and manage day-to-day box office operations, comps, and codes.

  • Generate and track partner and VIP comp codes.

  • Implement campaign guest registration confirmation emails, reminders and follow-up sequences.

  • Develop and implement best-practice guides, infographics, and "how-to" explanations to help users better navigate the system and increase engagement.

  • Assist with online vendor and partner experience, deliverables, and engagement. (Track, coordinate, and enter partner assets into the virtual platform (logos, ads, banners, partner information).

  • Facilitate an excellent user experience for attendees, registrants, speakers, partners, sponsors, and supporters across all box office and registration touchpoints.

  • Produce post-event guest reporting, including attendance and engagement data.

  • Complete final reporting requirements at program close.

  • Other tasks as determined by the Co-Founder / Executive Director.

  • Well written and well spoken, with the ability to represent the organization

  • Inclusive, collaborative, and creative

  • Self-sufficient and well-versed in Google Drive, Slack, Asana, Canva, Hootsuite and other remote working tools

  • Strong ability to develop and refine remote operations

  • Highly motivated and organized, with the ability to work autonomously and within a team

  • Understanding of sustainable production in the motion picture industry

  • Passionate advocate for sustainability and climate action
